Essentials of Project Management

Some or other principles are basic building blocks to management theories and concepts. These theories and concepts are the baseline evaluation criteria for judging efficiency of manager, productivity of organizations and objectives that are achieved. Today Management is not only a subject rather it is a Science and Art.
But what is a exact definition of Management? Several books and Posts are available to answer this question but there are some theories which are above all. Below are some of the points which can bring some of the key suggestions to light..

Management is Means of Starting a New Project
When a manager is appointed, what exactly he is suppose to manage. A manager is expected to manage a project or a assignment in which he deals with a project objective, a team to collectively work to achieve that objective and a timeline. Without the above 3 things one cannot be called as a Project Manager. However best of a Project Manager is observed when he not only concludes a project successfully assigned by his boss but also creates "New Projects" on his own.

Man and Material Excellence
To accomplish tasks and objectives of any project a Project Manager is assigned some resources which are used as per his will and experience. These resources are his team members who work as a team with him and the tools/material used by the team and Manager. So it is a responsibility of a Manager to make sure that the available resources are used in a optimized way by the team so that the cost effectiveness and employee/team member productivity can be obtained. This material can be Machinery, Space, Budgets or any other kind of logistics...

Appropriate Move at Right Time
Timing plays an important role in everybody's day to day life. Right decision at right time is the way to mitigate number of problems and a way to succeed tremendously. A manager should wait for a right time to take appropriate action and should be ready with the in depth analysis and a action plan with all the resources available. The primary source of sense of timing come from self experiences, knowledge and experienced gain while working with others.

Always be Ready with Plan B
A good manager always plans for failures rather than he plans for success. Risk Mitigation Plan is something which every manager should be ready with from day one itself. The planning for this reason starts with day one with all the risks identified at every stage of project execution. Provisioning the Project Management against failure makes the plan full proof and makes the team and Manager very confident at every stage. They are then ready for anything and everything.

Result Oriented Approach
Finally at end of the day Result is something which matters most and definitely rest of the other procedures and processes make the approach full proof to achieve the result. To make sure that the end results are met, the internal milestone planning and periodic check policy should be formalized to make sure that the assigned tasks are completed as per the plan and all the expected bottlenecks are resolved.

Below are some of the highlights of Project Management:

1) Understand the scope of project.
2) Create a draft scope document and get the comments from all the stakeholders.
3) List down the objectives and share.
4) Do a high level ball park estimate as per your experience.
5) Create a detailed Project Plan.
6) Create a details Resource Plan.
7) List down all the risks. Create a Risk Management Plan.
8) Create check points for review.
9) Create Internal Milestones.
10) Create Dependency Matrix.
11) Create Responsibility Matrix.
12) Execute the Plan.
